Privacy Policy
This policy explains what personal information PharSyde Technologies Inc. ("PharSyde", "we", "us") collects, why we collect it, and what we do with it.
1. Who we are
PharSyde Technologies Inc. is a software development and technology company, federally incorporated in Canada (Corporation No. 1807685-5) and based in Mississauga, Ontario. We build and operate software for business clients, including software our clients use to exchange text messages and email with their own customers.
2. What this policy covers
This policy covers two different situations.
- Our own website and business dealings. When you visit pharsyde.co, email us, or deal with us as a client or supplier, we decide how your information is used, and this policy applies in full.
- Services we run for our clients. When a business uses our software to communicate with you, that business decides how your information is used, and its own privacy policy applies. We handle the information only on its instructions, under a written agreement. If you have a question or request about that information, contact the business directly. If you contact us instead, we will pass your request to it.
3. Information we collect
From visitors to this website.
- This site has no accounts and no forms, and we set no advertising or tracking cookies.
- The site is delivered through Cloudflare, which processes technical information such as your IP address, browser type and the pages requested, to deliver the site, protect it and count visits in aggregate.
- The site loads its typeface from Google Fonts, so your browser makes a request to Google when a page loads.
From people who contact or work with us.
- Your name, employer, email address, phone number and the content of your messages.
- Information needed to carry out and bill for our work, such as contract and invoice details.
On behalf of our clients.
- Contact details of the client's customers, such as names, mobile numbers and email addresses.
- The messages exchanged between the client and its customers, including pictures and attachments.
- Records of consent, opt-outs and message delivery.
- Details of the client's staff accounts, and records of what they do in the software.
- Business records the client chooses to keep in the software.
4. How we use information
- To answer enquiries and to provide, maintain, secure and support our services.
- To deliver messages our clients send and receive, and to keep records of consent and opt-outs so that they are honoured.
- To bill for our work and meet our legal, tax and accounting duties.
- To detect and prevent misuse, fraud and security incidents.
We do not sell personal information. We do not use personal information for advertising, and we do not build marketing profiles of our clients' customers.
5. Text messaging and mobile numbers
We do not sell, rent or share mobile numbers or text messaging consent with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third party, other than the service providers and carriers that deliver the messages.
Mobile numbers are used only to send and receive the messages the recipient asked for or agreed to receive. You can stop text messages at any time by replying STOP. See our Text Messaging Terms for details.
6. Automated tools and AI
Our software may use automated tools, including AI models, to help our clients sort, summarise and draft replies to messages, and to read documents a client sends to it. Where a message to you is written by an automated assistant and not by a person, the message says so. We do not allow the providers of these tools to use the information to train their models.
7. Who we share information with
- Service providers that help us run our services, under contracts that limit what they may do with the information. These include Amazon Web Services (hosting, storage and email delivery, in the United States) and Twilio (text messaging and voice). A current list is available on request.
- The client on whose behalf the information is held.
- Authorities and others where the law requires it, or where it is needed to protect the rights, property or safety of any person.
- A successor, if our business is reorganised or sold, on terms that keep this policy's protections in place.
8. Where information is stored
Information we hold for our clients is stored in data centres in the United States. PharSyde operates from Canada, so the information may be accessed from Canada for support and maintenance. It may therefore be subject to the laws of both countries.
9. How long we keep it
We keep personal information only as long as it is needed for the purposes above or as the law requires. Information held for a client is kept for the periods set by that client and our agreement with it, and is returned or deleted when the agreement ends. Opt-out records are kept so that an opt-out continues to be honoured.
10. How we protect it
We use administrative, technical and physical safeguards suited to the sensitivity of the information. These include encryption in transit and at rest, two-step sign-in for staff, access limited to people who need it, and records of access. No system is perfectly secure. If a breach creates a real risk of significant harm, we will notify the people and authorities the law requires us to notify.
11. Your choices and rights
- You may ask to see the personal information we hold about you, and ask us to correct it.
- You may withdraw consent to further use, subject to legal and contractual limits.
- You may stop text messages at any time by replying STOP.
- You may raise a concern with us at the address below. You may also contact the Office of the Privacy Commissioner of Canada or the regulator where you live.
Where we hold your information on behalf of a client, we will refer your request to that client and help it respond.
12. Information from Google
A client may connect its own Google Business Profile to our software. When it does, we read that profile's reviews and business details so the client can see and reply to its reviews in one place. This information is used only to provide that feature to that client. It is not used for advertising, is not sold, and is not used to train AI models. It is refreshed regularly, is not kept for more than 30 days after it was last refreshed, and is deleted when the client disconnects its profile. Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
13. Children
Our website and services are meant for businesses and adults. We do not knowingly collect personal information from children.
14. Changes to this policy
We may update this policy. The date at the top shows when it last changed. If a change is significant, we will tell our clients before it takes effect.
